You don’t need analytics software. Talk to your last 20 enquiries. Check how many got a quote within 48 hours. See how many got a follow-up. Count how many fell off completely. Those numbers show you exactly where to focus.

Step 3: Set Up a Basic CRM

A CRM is just a single place where every lead lives with a status attached.

Start with a Google Sheet. Columns: Name, Phone, Email, Source (where they found you), Date Enquiry Received, Status (new / quoted / follow-up needed / won / lost), Quote Amount, Notes.

One sheet. Update it daily. This gives you more visibility into your pipeline than most of your competitors.

Step 4: Create a Standard Quoting Process

Every quote should follow the same steps, every time. No more “I’ll just text them a rough number.”

Build a quoting checklist:

  1. Send a quick text to acknowledge the enquiry within 2 hours.
  2. Get the site visit booked within 48 hours.
  3. Get the formal quote out within 24 hours of seeing the job.
  4. Include a clear scope, price, and timeline.
  5. Set a reminder to follow up 3 days later.

Be the bloke who actually gets the quote over when he says he will. You’ll win more work just by being reliable.

Step 5: Build a Follow-Up System

This is where most of you are leaving money on the table.

A basic follow-up system looks like this:

  • Day 0: Quote sent. Confirmation text or email: “[Name], just sent through the quote for your [job type]. Give it a look and let me know if you’ve got any questions.”
  • Day 3: Follow-up call or text: “Just checking in on that quote. Happy to jump on a quick call if anything needs clarifying.”
  • Day 7: Final follow-up: “Wanted to touch base one last time. If the timing isn’t right, no stress at all. We’re here when you’re ready.”

Three touchpoints. You can automate these with most CRM tools, or just set calendar reminders on your phone. The point is that it happens consistently.

We’ve watched tradies double their booking rate just by making that second and third call. Your competitors send the quote and forget about it. You won’t.

Step 6: Then Turn On the Marketing

Once the pipeline is solid, marketing spend actually generates a return. You know your close rate. You know your average job value. You can calculate exactly what a lead is worth and how much you can afford to spend to get one.

A tradie with a 40% close rate and a $5,000 average job value can justify $200 per lead all day long. A tradie with a 15% close rate and no tracking can’t even tell you if their ad spend is working.
